Unless explicitly stated otherwise in writing, a quote will remain valid for a period of 7 days from the date it was issued. Quotes will be considered confirmed bookings once the deposit has been received by Avalee & Co.
A non-refundable deposit of 50% is necessary to finalize a booking. The hirer is responsible for making deposits by or before the due date indicated on the invoice.
Final payments must be made promptly, no later than two weeks prior to the agreed date with Avalee & Co, as outlined in the invoice provided to the hirer. Payments should be processed via direct bank transfer, accompanied by the appropriate reference. Please note that bookings cannot be confirmed without a deposit. Failure to settle an invoice may lead to cancellation of the booking and forfeiture of the deposit. Kindly be informed that all payments are non-refundable.
1 - Cancellation will result in forfeiture of both the deposit and any payments made.
2 - In instances of unfavorable weather conditions, bookings for outdoor locations will not be refunded. It is the client's responsibility to arrange for suitable undercover or indoor alternatives.
3 - The hirer is accountable for organizing alternative arrangements at an indoor location.
4 - If the weather forecast anticipates unfavorable conditions, Avalee & Co will refrain from setting up hire items outdoors.
5 - In the event of wet weather, you have the option to reschedule the event.
6 - Any storm warnings may lead to rescheduling or relocating the event indoors or under cover, at the client's discretion.
7 - Credit for future events will be provided if the event is canceled due to government-issued border closures or lockdowns related to COVID-19.
All hire items provided to the hirer are the property of Avalee & Co unless explicitly stated otherwise in a signed invoice. In the event of damage to or loss of hire items during the hire period as specified in the invoice, the hirer must promptly report it to Avalee & Co. The following actions will be taken:
1. If the hire items are lost, the hirer must reimburse Avalee & Co for the current replacement cost of the hire items.
2. If the hire items are damaged, the hirer is responsible for covering all repair costs.
The hirer is obligated to provide any required notice to local or relevant authorities regarding their intention to host an event involving Avalee & Co hire items.
It is the hirer's responsibility to:
1. Assess the appropriateness of the hire package for the event.
2. Provide information regarding venue access, including details about staircases and locations inaccessible by vehicle.
3 - The hirer will accept and pay surcharges relating to difficult entry or access to a venue or location.
If there is no access to loading bays in commercial areas, the hirer will pre-pay or reimburse any parking costs incurred.
Avalee & Co will handle delivery, assembly, packing down, and item removal as outlined in the signed invoice by the hirer. An extended hire surcharge will be incurred if:
1. Avalee & Co is needed to return at a different time for item collection.
2. The hirer wishes to extend the hire period beyond the initially invoiced duration.
The hirer assumes responsibility for supervising and securing Avalee & Co hire items until collection by Avalee & Co. If hire items are stolen from the venue or location:
1. The hirer must provide written notification detailing the theft circumstances and the time of police notification.
2. Until Avalee & Co receives this notification, hiring charges will persist.
3. The hirer agrees to cover the cost of replacing items stolen under their supervision during the hire period.
The hirer must ensure that adequate safety measures are implemented when utilizing Avalee & Co's hire items, as needed. This includes:
1. Not relocating hire items once they have been assembled at the venue or location.
2. Acknowledging that incorrect use of items poses a risk, and such use is at the hirer's own discretion.
3. Verifying that the venue or location meets necessary safety standards for guests, which is the responsibility of the hiree.
4. In case of storm or natural disaster warnings, the event may be rescheduled or relocated indoors or under cover, at the client's discretion.
Avalee & Co bears no responsibility for injuries sustained if the hirer or guests misuse or move items against Avalee & Co's recommendations or instructions.
The hirer is responsible for any damage to hire items caused by fusion or malfunction of electrical equipment. It is the hirer's responsibility to take sufficient precautions. Charges for any necessary repairs to the damaged hire items will be incurred by the hirer.
Avalee & Co bears no responsibility for injuries sustained if the hirer or guests misuse or move items against Avalee & Co's recommendations or instructions.
The hiree must ensure that all hire items are prepared for dismantling and removal by Avalee & Co at the agreed time. Additionally, the hirer is responsible for clearing rubbish from surfaces and the venue or location. Plates, glassware, and cutlery should be cleaned and packed, ready for Avalee & Co's pickup.
The hirer is accountable for verifying the alcohol regulations at any venue or public area designated for an event organized by Avalee & Co. Many public parks, for instance, strictly prohibit alcohol consumption and may levy fines of $129 or more. Avalee & Co bears no responsibility for any consequences arising from alcohol consumption or penalties incurred.
Refunds will not be provided for cancellations related to COVID-19. Instead, we will issue credit without any specified timeframe, which can be utilized for the same event or a different event in the future.
